CRM Settings and Import Mappings
Understand how CRM settings and import mappings work in Seamless. This article covers import controls, deduplication settings, field mappings, user edit permissions, and override options to help you manage how data moves into your CRM.
Brand refresh in progress
We recently launched a new brand, so some images and videos may differ from what you see in-product. All workflows and guidance remain accurate while we update visuals.
Use your CRM Settings and Import Mappings to control how contacts and companies are imported, matched, and updated in your connected CRM.
This article explains the available settings and what each one does so you can choose the setup that best fits your team’s process.
CRM Settings Overview
Your CRM Settings control how records are imported into your CRM, how duplicates are handled, and how Seamless applies data during the import process. Some settings may vary depending on your connected CRM.
CRM Setting Fields
Lead Source, Campaign, and Owner
These settings let you choose where imported records are routed in your CRM and who they are assigned to.
You can customize these fields using values that already exist in your CRM. Seamless syncs available options from your CRM so they can be selected from a dropdown.
Total AI Threshold for Contact Imports
This setting lets you define the minimum Total AI score required before a contact can be imported.
This threshold applies specifically to the contact’s Primary Business Email. For example, if the threshold is set to 80, the contact’s Primary Business Email must have a Total AI score of 80% or higher to import successfully on the first attempt.
Contact Account Creation
This setting controls what happens when a contact does not already have a matching account in your CRM.
Yes: Automatically creates an account if one does not already exist.
No: Does not create an account. Users must select an existing account before importing the contact.
Prompt: Prompts the user during import to either select an existing account or create a new one.
Contact Import Match Score
This setting defines the match score required for Seamless to automatically import a contact without showing a duplicate review screen.
A setting of 100% requires a perfect match to an existing record in your CRM. Lower match scores may trigger a deduplication screen that allows the user to review similar records before importing.
For example, a setting of 95% allows automatic import when the match score is 95% or higher, unless multiple records share the same score. Seamless does not recommend setting this below 95%.
Company Import Match Score
This setting works the same way as Contact Import Match Score, but applies to company records.
A setting of 100% requires a perfect match to an existing company record before the import is completed automatically. Lower scores may show similar record options during the import process. Seamless does not recommend setting this below 95%.
Bypass Lead Assignment Rules
This setting prevents lead assignment rules in your CRM from overwriting the selected Lead Owner during import. This option is not supported when using Import Filtered or Import All.
Automatically Import to CRM
This setting allows records to be imported automatically when a user clicks Find in Seamless.
When enabled, users can skip manually selecting contacts or companies from My Contacts or My Companies before importing them into the CRM.
Allow Contacts/Leads to Import without a Validated Email
When enabled, users can import contacts even if the email has not received a validated status.
A validated email includes a Valid or Accept All response from Seamless validation as part of the AI research process.
Account Deduplication Method (Website or Name)
This setting determines how existing accounts are checked for duplicates in your CRM.
You can choose from:
- Website: Uses the company website as the primary deduplication field. If no website is available, Seamless uses the company name as a fallback.
- Name: Uses fuzzy matching on the company name and may show close matches during import.
Fill Contact Phone with Company Phone (if Contact Phone is blank)
When enabled, Seamless will populate the contact phone field with the company phone number if the contact phone is blank.
This can be useful if your CRM requires a phone value on both contact and company records.
Fill Contact Location with Company Location (if Contact Location is blank)
When enabled, Seamless will populate contact location fields using company location data when the contact location is blank.
This can be useful if your CRM requires location data on both contact and company records.
Enable CRM Alerts
This setting notifies users when a contact or lead already exists in the connected CRM before they take action in Seamless.
Allow Users to Create New or Custom Mappings
When enabled, non-admin users can create custom mappings that apply only to their own account.
Additional Setting Controls
Allow User Edit
This setting allows non-admin users to modify selected settings or mappings for their own account. If disabled, only admins can manage those settings.
Override Toggle
This toggle controls whether Seamless should overwrite existing CRM data.
- On: Seamless can overwrite existing CRM values with data from Seamless.
- Off: Seamless only fills in missing or empty CRM fields and does not replace existing values.
CRM Mappings allow you to connect Seamless fields to fields in your CRM so that data is sent to the correct place during import.
Seamless syncs available CRM fields automatically, but the connected CRM user must have permission to edit those fields in order for imports to succeed.
Import Mapping Fields
Import Mappings determine how data from Seamless is passed into your CRM.
Seamless Field
These are the data fields available in Seamless.
You can map any available Seamless field to a corresponding CRM field. Seamless automatically includes a core set of common mappings, and you can add more as needed.
CRM Field
These are the fields available in your connected CRM.
Once your CRM is connected, Seamless syncs those fields regularly so your available mapping options stay current. To create a mapping, select the Seamless field on one side and the corresponding CRM field on the other.
Add New Mapping
Use this option to create a new field mapping between Seamless and your CRM.
Any available Seamless field can be mapped to any editable CRM field. The connected CRM user must have permission to edit that field.
Add Custom Mapping
Use custom mappings when you want to send a static value to your CRM, especially for required fields that Seamless does not populate directly.
For example, if every imported lead should include a specific lead stage, you can create a custom Seamless value such as New and map it to the appropriate CRM field. That value will then be sent with every import.

Organization-Wide Controls for Mappings
Set Org Wide: Use this option to apply a mapping across the organization.
Lock Org Wide: Use this option to prevent users from changing a mapping at the individual level.
Override: Use this option to control whether mapped Seamless data should overwrite existing values in your CRM or only fill blank fields.
Automating List Imports
You can also map Seamless Lists to records in your CRM to reduce manual importing.
Depending on your CRM, this may allow you to connect Seamless Lists to destinations such as accounts, campaigns, or list-based workflows. After adding a mapping, you can select:
- A Seamless List
- A destination record or grouping in your CRM
This helps automate where imported records are routed.
